Privacy Statement

The trade union VHP2 (VHP2, we, our) represents collectively and individually the interests of its members and focuses on high-quality services. Our members appreciate our honest, accessible and high-quality services. This approach can be seen in our newsletters, updates, blogs and on our website.

To enable us to provide these services for our members and other interested parties we process your personal details in our customer relation management (CRM) system.

In this Privacy Policy we explain which personal details we collect and use, the purpose for which we do this and to whom we possibly provide this data. Furthermore, in this Privacy Policy we inform you about important rights with regard to your personal details. For this reason, it is important that you read this Privacy Policy very carefully.

As a trade union, we are fully aware that we process personal details of a special nature. In this Privacy Policy you can read which data we process and for which propose.

It may be necessary that we occasionally have to amend this Privacy Policy. The most recent version of the Privacy Policy can be found on our website. We will inform you whenever we make important changes to our Privacy Policy.


1. Whose personal details do we collect?

We collect the personal details of our members within the scope of their membership. In addition, we collect the details of persons who have registered to receive a newsletter and/or who have explicitly asked us to send them information, such as a white paper.


2. How do we collect this data and why?

We collect data about you:

Directly from you, through the data that you have supplied to us via your registration form and/or that you have updated via mijnvhp2. The data that you have supplied to us during the registration for our newsletter or the request for a white paper.

We have three legal bases to process your personal details.

  1. Your permission
  2. Execution of the contract
  3. Our legitimate interest to keep the union operational.

In the diagram below, we explain which personal details we collect and for which purpose.

1. (Which data we collect, and for which purpose)

  • Name, address, telephone and e-mail details*: To allow us to correctly address our communications and properly represent the personal interests of members both collectively as well as individually. To allow us to contact you personally and be able to trace you if we receive a postcode list of employees from your employer (within the scope of reorganisations, outsourcing, collective dismissal etc.).
  • Gender: To be able to address you correctly in our communications.
  • Date of birth: To provide insight into the age structure of our union and assess the specific requirements of different age cohorts.
  • Form of address: To be able to address you correctly in our communications.
  • Company or organisation: To allow us to provide focused representation.
  • Occupation or professional field: To contact you with targeted information and be able to make the best possible use of the scope of the various networks within the union.
  • Bank details: If use is made of direct debit.

We need the personal details that we have marked with an asterisk (*) to be able to send you newsletters or a white paper. You may of course refuse to provide us with certain details. However, this may mean that we are not able to send you messages or address them correctly.


3. Who do we share your personal details with?

Your personal details are NOT shared with third parties. There are two exceptions:

  1. If this is necessary for activities which are initiated by the member themselves; such as, for example, participation in a company visit, or specific individual representation. In this case the member is informed which data may possibly be supplied to third parties, and for which purpose).
  2. To the contact person of the company where the member is employed.

4. How long do we store your personal details?

We store your membership details during your membership and for up to 2 years following the termination of your membership. If you have registered for our newsletters we will store your details until the time that you let us know that you no longer want to receive our newsletters or we discover that your e-mail address no longer exists. If you have requested us to send you a white paper, then we will store your details until 1 year after your request.


5. Which rights do you have and how can you exercise these rights?

Version 1 September 2018. In accordance with our rules and regulations you can terminate your membership and unsubscribe from our newsletters. You can do this by clicking on the Unsubscribe link at the bottom of our newsletters. Furthermore, within certain legal boundaries you have the right to:

  • Information about and access to your personal details; ï‚·
  • Amendment of your personal details; ï‚·
  • Deletion of your personal details (‘right to be forgotten’); ï‚·
  • Limitation of the processing of your personal details; ï‚·
  • Refusal of the processing of your personal details; ï‚·
  • Receipt of your personal details in a structured and usual manner in a legible format that makes it possible to transfer your personal details to another organisation.

You should contact the director of the VHP2 to exercise the above rights. The director's contact information is given at the bottom of this Privacy Policy.

We will do everything within our power to ensure that your wishes with regard to exercising the above rights are honoured. If, in your opinion, this has not happened correctly we kindly request you to notify us of this. If you still have complaints about the way in which we have handled your personal details then you also have the right to submit a complaint to the Dutch Data Protection Authority.
